Krewe.Tools

Privacy Policy

Krewe.Tools is season software for Mardi Gras krewes, run by VegasGeek, LLC (“we”, “us”). This policy explains what information we collect, how we use it and who we share it with. It covers the krewe.tools website, our help sites, and the krewe websites we host (for example, a krewe’s sign-up, member account and store pages).

Krewes and Krewe.Tools

When you join a krewe that uses Krewe.Tools, your krewe decides what it collects from you and what it does with it. We store and process that information on your krewe’s behalf so the software works. If you have a question about your membership records, such as correcting them or deleting them, start with your krewe. We will help your krewe respond.

What we collect

On krewe.tools

  • Demo requests. Your name, email address, krewe name and anything you write in the form. We use it to reply and set up a walkthrough.
  • Emails you send us. Whatever you include, so we can answer you.

On a krewe’s site

  • Account details. Name, email address, phone number, mailing address, and the password you choose (stored only in hashed form).
  • Membership details. Member type, season history, float or position, costume and size choices, guests and substitutes, and any extra fields your krewe adds to its sign-up.
  • Orders and payments. Dues, store orders, event tickets, balances and refunds. Card and bank details are entered directly with Stripe. We never see or store full card or bank account numbers.
  • Messages. Support messages you send your krewe, and records of the emails your krewe sends you (for example, whether a message was delivered or you unsubscribed).
  • Check-in and pickup. Records of event check-ins and of items handed out to you, including the pickup code on your account.

Automatically

  • Technical data. IP address, browser type and server logs, used to keep the service running, prevent abuse (such as limiting how often a form can be sent) and fix problems.
  • Cookies. We use only the cookies needed to keep you signed in and to protect forms. We do not use advertising cookies, and we do not use analytics or tracking scripts on krewe.tools.

How we use it

  • To run the service: accounts, dues, the store, events, parade operations, email and reports.
  • To process payments through your krewe’s Stripe account.
  • To send the emails you or your krewe expect, such as receipts, password resets, pickup notices and krewe announcements.
  • To provide support, keep the service secure and prevent fraud and spam.
  • To meet legal obligations.

We do not sell your personal information, and we do not use it for advertising.

Who we share it with

We share information only with the services that help us run Krewe.Tools, and only what each one needs:

  • Your krewe. Its admins and the people your krewe gives access (for example, lieutenants or store volunteers) see the member information their role needs.
  • Stripe processes payments. Each krewe has its own Stripe account and is the merchant for its charges. See Stripe’s privacy policy.
  • SMTP2Go delivers our email.
  • Cloudflare protects and speeds up our sites, and runs the Turnstile check on public forms.
  • Our hosting providers run the servers where Krewe.Tools and its data live.

We may also disclose information when the law requires it, to protect the rights or safety of our users or others, or as part of a sale or merger of our business (in which case this policy keeps applying to your information).

How long we keep it

Krewe records are kept while your krewe uses Krewe.Tools, because krewes rely on member history from season to season. When a krewe stops using the service, we delete its data within 90 days unless the law requires us to keep it longer. Payment and accounting records may be kept as long as tax and accounting rules require. Demo requests and emails to us are kept as long as they’re useful for that conversation.

Security

We use encrypted connections (HTTPS), hashed passwords, access limited by role, and regular backups. No system is perfectly secure, but we work to protect your information and will tell affected krewes promptly if a breach affects their data.

Your choices

  • You can update most of your account details on your krewe’s My Account page.
  • You can unsubscribe from krewe announcement emails with the link in each one. Receipts and account emails will still be sent.
  • You can ask your krewe, or us, to see, correct or delete your information. Some records, such as payments, may need to be kept for accounting.

Children

Krewe.Tools is not meant for children under 13, and we do not knowingly collect their information. A krewe may record a minor’s details (for example, a young rider) only with a parent or guardian’s consent.

Changes to this policy

If we change this policy, we’ll update the date at the top. For significant changes we’ll let krewes know before they take effect.
